MatrixStorage is a management system for storage and retrieval of samples. These activities usually require staff to organize samples prior to their storage in sample stores (refrigerators, cold chambers, etc), or to allow for delay when samples need to be retrieved. Practical functionalities and integration to MatrixConnect allow MatrixStorage to simplify and expedite sample storage and retrieval.

Sample stores, shelves and grids

MatrixStorage enables the registration of an unlimited number of sample stores and the configuration of each store on an individual basis. This feature allows the management of sample storage in cold chambers, refrigerators, slide cabinets, etc. Each Sample Store (for example REFRIGERATOR-01) and its subdivisions (denominated Shelves …for example SHELF-04) are identified and coded by the laboratory.

The samples are stored in devices usually arranged in a matrix basis, where each position can be easily identified. The position of each sample is identified by a number, that is, the position of the sample in the matrix. These devices are named ‘grids' by MatrixStorage. The user assigns an identification to each grid (for example 2004MARCH03), and inputs its location in the sample store (Store + Shelf).


Storage

The storage process begins once the routine is completed and the samples are ready for storage. There are two methods to store samples. In the first, MatrixStorage receives information from MatrixConnect on the location (rack and position in the rack) of each sample in the instrument, and shows the user a “transposition” screen of these samples to the storage grid. The operator then takes the samples from the rack of the instrument and places them onto the storage grid in a sequential order. MatrixStorage automatically relates the sample to its new position in the grid.


The second storage method is equally practical and appropriate for manual routines or for small transportation racks. At the end of the routine, the code of each sample is read by a barcode reader and automatically related to the next free position in the grid chosen by the operator. This operation enables the filing of samples of an extensive routine in a few minutes.


Finally, whatever the method used to arrange the grids, this method is linked by the operator to the location of the grid in the sample store thus closing the storage cycle. The operator may optionally issue a report on the content of the grid for filing purposes.


Retrieval

To retrieve a given sample from the place where it is stored, the operator only has to key in the sample code and MatrixStorage will instantly show the sample store, shelf, grid, and sample position in the grid. If the operator does not have the sample code, the same access may be obtained by using different information from the patient or other sample data.

MatrixStorage also provides advanced features for sample retrieval, such as location of samples in the sample store by their results. For instance, it is possible to locate all samples from the past two days with a positive HIV result.

 

Control of time for disposal

Each grid stored has a defined time for disposal, so that it will not be possible to eliminate any grid from MatrixStorage before this time has elapsed. MatrixStorage shows the person in charge of the serum archive those grids which are ready for disposal. Through such controls, MatrixStorage does not allow materials to be wrongly discharged, or kept after the established period.
